Top Tips For Planning Your Business Summer Event

When it comes to planning the annual summer event for your business, you need to make sure it happens without a hitch. You can avoid any potential pitfalls by making sure you are looking at all the key details You certainly don’t want to forget to arrange toilet hire or the food for the BBQ.

If you want to make sure you arrange this year’s summer party properly, have a look at the tips below:

What Are The Goals And Objectives

You need to think about what you want to achieve from the summer party. It might just be to have fun or to look after the well-being of your employees. You might not feel like you need to have objectives in place this way you will at least be able to judge whether it was a success or not.

Choose The Right Date

You’re not going to be able to choose a date that is perfect for everyone, however, you do need to think about things like the level of leave that is normal for the time of year. For example, you may get a lot of parents who are on leave during the school holidays so having your summer event in the middle might not be the best time. You do need to plan early, this way you will be able to arrange everything you need to and have a better chance of things going to plan. Your guests can also add it to their calendars and keep the date open too.

Create Your Guest List

You will need to create a list of everyone you want to attend the event. Yes, this may be everyone in your company, but it also may include people from other businesses and double up as a networking opportunity. Once you have your guest list you can send your invitations out and start getting RSVP’s back. This will help you to plan other areas of the event such as how much food to order.

Find The Venue

When you have an idea of how many people are going to be attending you need to source your venue. Ideally, this should be done before you send the invites out so your guest has a chance to arrange transport on the day. Venues can book up quickly so make sure you get a deposit down as soon as possible. You should think really hard about the venue budget as it can be very easy to pay over the odds. You need to look at the facilities, size, and other features of the venue before you commit. The location is also really important, if you are expecting people to travel is there the option for your guest to book a hotel nearby or a room at the venue? Make sure you aren’t paying for a luxury venue when you could get more for your money when you shop around.
